I’ve lost count of how many business owners I’ve sat down with at MSK Accountants who are quietly drowning in payroll admin and didn’t even realise how much it was costing them. Not just in fees or fines, but in hours. Actual hours of their week, every single month, gone.

I had a client, a small manufacturing business with about 15 staff, who handled payroll herself every month because she didn’t want to “waste money” on outsourcing it.

No software headaches. Decent payroll software isn’t free, and it needs updating, maintaining, and understanding. Outsourcing sidesteps that entirely.
Compliance peace of mind. Auto-enrolment, RTI, year-end reporting, P60S and P11Ds it’s all handled without you needing to become an expert in employment tax law on the side.
Scalability. Going from five staff to twenty-five doesn’t mean your admin burden explodes if someone else is managing it. That’s a big one people don’t think about until they’re growing fast and suddenly underwater.
But Isn’t It Expensive?
This is the question I get asked most, and I get why. It feels like an extra cost you didn’t have before.
But flip it around: what’s your time actually worth? What’s the cost of one payroll error, one late submission penalty, one unhappy employee who didn’t get paid correctly? What Should You Actually Look For?
Not all payroll providers are equal, so a few things are worth checking before you commit.
Make sure they’re up to date with auto-enrolment and pension scheme management, since that trips up a lot of DIY payroll runs. Ask how they handle RTI submissions and whether it’s genuinely done on time, every time. And find out how responsive they are when something urgent comes up because it will, at some point, and you don’t want to be waiting three days for an answer.
My Honest Take
I’ll be straight with you. I think too many small business owners treat payroll like a badge of honour, something they should be doing themselves to prove they’re keeping costs down.
But that’s a false economy, and I’ve watched it play out too many times to sugarcoat it. Your time is worth more spent growing your business than manually calculating National Insurance contributions on a Sunday evening. Outsourcing payroll isn’t giving something up.
